The European Network for Central Africa (EurAc) is recruiting an Executive Assistant to ensure the administrative and financial follow-up as well as secretariat of the organisation, and to participate in the proper coordination of the organisation's activities. It is a part-time job (50%), 5-month contract, based in Brussels, Belgium.

Description of the organisation

The European Network for Central Africa (EurAc), created in 2003, aims to help the Great Lakes region (Democratic Republic of the Congo, Burundi, Rwanda) build a better future. EurAc advocates for coherent and strong policies that promote peace, inclusive political participation, sustainable and equitable management of natural resources and full respect for human rights in the Great Lakes region by the EU and its Member States. EurAc gathers 36 civil society organisations from 11 European countries. These organisations work on and in the Great Lakes region of Africa. They support civil society organisations in Burundi, the DR Congo and Rwanda in their efforts to promote and defend peace, human rights, and equitable and sustainable development.

Attached to EurAc’s Secretariat (a team of two Advocacy Officers and a Communication Officer) and to the members of EurAc's Board of Directors, the Executive Assistant will be in charge of ensuring the administrative and financial follow-up and secretariat of the organisation and participating in the proper coordination of the organisation's activities. The Executive Assistant will be under the hierarchical responsibility of EurAc's Board of Directors as the other employees of the Secretariat are due to the vacancy of the Director’s position in the coming months.

Main activities

  • Ensure the administrative and financial follow-up of activities in support of EurAc's Secretariat (monthly budget follow-up, invoices and payments from service providers, relations with administrations, collection of members' subscriptions, etc.)
  • Ensure the organisation's telephone secretarial services during office hours
  • Handle, process, and redirect EurAc's e-mail, follow up on various requests and provide the necessary answers
  • Contribute to the running of the Secretariat, support the organisation in any task related to EurAc's activity (in conjunction with the team), especially on the network's internal and external events.

Profile

  • Proven experience in a similar function (admin/finance and secretarial support), in the voluntary and/or private sector
  • Training/experience in budget monitoring and administrative management
  • Training/experience in executive secretarial work
  • Good adaptability in a multicultural environment
  • Sense of service, responsiveness, and discretion
  • Ability to prioritise
  • Good writing skills and layout ability
  • Capacity for initiative, rigour, and good organisation
  • Interest in EurAc's missions and sensitivity to international solidarity would be a plus
  • Mastery of office automation tools: Office Pack, databases
  • Fluent English and French (written, read, and spoken), knowledge of other European languages is a plus.

Contract & salary

The position is to be filled on Monday 17 August 2020 until 15 January 2021. This is a fixed-term contract position of 5 months on a part-time (50%) basis.

The job will be located at EurAc's headquarters: rue Stevin 115, 1000 Brussels, Belgium (homeworking possible, depending on the pandemic situation).

The gross monthly salary is defined according to the level of experience according to the CP329.02 scales of the Region of Wallonia.

Transport reimbursed (if applicable) and meal vouchers.
